Approval of and authorization to execute an Equipment Lease Agreement with Preferred Business Systems, LLC for city wide copy equipment and maintenance service

Background:
The Logistics Division of the General Services Department requested and sought bids for citywide copier lease and maintenance services in 2018.
Preferred Business Systems LLC was the successful bidder. The bid provided for a one-year agreement term ending June 30, 2019 with the option to renew annually for up four additional years based on available funding. This is the first renewal period. Preferred Business Systems LLC has provided expected levels of service during this past agreement period and staff recommends renewing the agreement for an additional year.
Funds are budgeted by each Department for copier lease and maintenance services. Staff recommends approval of the first of four renewals periods for this agreement with Preferred Business Systems LLC.
Cost: Approximately $4,204 per month based on historic numbers of copies
produced
