Background:
The Information Technology Department requested and sought bids for 200 Cisco VoIP phones. Nine vendors were solicited to bid on equipment, and a total of six (6) bids were received. Five of the six vendors meet specifications. Chickasaw Telecom submitted a bid for seventy-two Cisco 8841 phones with smartnet maintenance and one hundred twenty-eight Cisco 8851 phones with smartnet maintenance meeting the specifications and is low bid. Base pricing plus smartnet maintenance are reflected in the attached bid tabulation. The bid tabulation also includes all vendors submitting bids for this equipment.

The bid price for the Cisco 8851 phones with smartnet is $247.70 each and the current State Contract pricing for the same phone with smartnet is $398.10 each. At this time Information Technology recommends that we purchase an additional twenty-five Cisco 8851 phones to take advantage of the discounted bid price. This will result in a savings of $3,760 by purchasing the additional phones as part of this bid.

The total price for the Cisco phones and first year of smartnet maintenance is $55,150.02. Funds for this purchase have been appropriated and are available in the Sales Tax Capital Improvement Fund in the available amount of $82,700. Project No. 171104, Acct. No. 030-1103-419.70-18.
