Approval of and authorization to purchase from Ford Audio-Video a video and broadcast lighting/dimming system for the City Council Chambers pursuant to the State Contract and authorization to execute a System Installation Agreement

Background:
The City of Broken Arrow solicited three quotes for the purchase of a video and broadcast lighting/dimming system to replace the aging system in the city council chambers. The proposed system will provide a state of the art video and lighting system for city councilors and the audience.

Some of the features this system will provide are large projection displays for the audience and councilors, a live feed to the main conference room for overflow and broadcast lighting to provide enhanced lighting of councilors for video production.

Quotes were sent to three vendors, Ford Audio-Video, Cory's AV and SKC as required by Oklahoma State Purchasing Contract #ITSW1021. Cory's AV and SKC elected not to quote the project making Ford Audio-Video's quote the only quote received.

Section 2-27 of the Broken Arrow Code allows the purchase of supplies, materials, equipment and contractual services from other units of government at a price deemed below that obtainable from private dealers without the need for formal competitive bidding. The proposed purchase from Oklahoma State Wide Contract ITSW1021 meets the criteria established by the Ordinance.

Funding for this purchase is available through Sales Tax Capital Funds.
