title

Consideration, discussion, and possible approval of and authorization to reject the previously awarded bid from Rush Truck Center for one (1) dump truck and find that the best interests of the Citizens of Broken Arrow will be served by the rejection

Background:

A dump truck for the Streets and Stormwater department was approved for purchase and awarded to Rush Truck Center during the October 2, 2018 Council meeting.   Bids were requested and sought to purchase this dump truck through the Logistics Division. Bids were solicited from ten (10) vendors.  Six (6) bids were received.

On Tuesday January 15, 2019, Rush Truck Center contacted the Purchasing division and stated that although the truck is scheduled to be built on February 27, 2019, the Peterbilt engineers notified them that the truck will not be able to be built according to our specifications due to the frame and transmission configuration.  This is a Peterbilt specific issue as our truck specifications have not changed substantially for a number of years.

On January 18, 2019 Rush Truck Center formally requested to withdraw their bid as they cannot build the truck due to engineering constraints.

Staff recommends retracting the bid awarded to Rush Truck Center for the dump truck.  The bid opening date was August 22, 2018 and is now is in excess of four months old.  As such, staff recommends re-soliciting bids for the dump truck.
