Background:
The City’s computer network infrastructure and Voice Over Internet Protocol system functions through the use of CISCO equipment. This equipment is serviced through annual maintenance services offered by CISCO referred to as Smartnet. As part of staff’s efforts to maintain the City’s network infrastructure, we plan for the replacement of critical network equipment when it can no longer be covered under Smartnet maintenance. Staff proposes that we replace four switches that are currently over ten-years-old and will not be covered under Smartnet maintenance when renewed later this year.
Section 2-27 of the Broken Arrow Code addresses exceptions to competitive bidding. The Code provides that competitive bidding is not required for supplies, materials, equipment or contractual services when purchased at a price not exceeding a price set by the state purchasing agency or any other state agency authorized to regulate prices for things purchased by the state. The four CISCO switches proposed to be purchased are available from Chickasaw Telecom through the state contract. Staff recommends that the Council approve the purchase of four CISCO switches from Chickasaw Telecom which includes one year of Smartnet maintenance on each switch.
Sufficient funds are available for this expenditure in this year’s Sales Tax Capital Improvement Fund budget.
