Review of bids received and award of the most advantageous bid to Clean Uniform and approval of and authorization to execute a Service Agreement for non-public safety employee uniform rental service

End

Background:

The City last bid its non-public safety employee uniform rental service in March 2011.  Clean Uniform was the successful bidder.  The contract period was for one year, ending June 30, 2012.  The service agreement was renewed each year and currently expires June 30, 2016.  The Logistics Division of the General Services Department requested and sought bids for a new uniform rental services agreement.  Eight (8) vendors were solicited to bid on this service and four (4) bids were received.

New for this uniform rental service bid are additional uniform packages which provide varied clothing types and quantities to more closely meet Department and employee needs.  The bid package also includes pant rental, which in the past, was accomplished through a payroll deduction, but now will become part of the uniform rental service.  Additionally, there are opportunities to reduce rental costs by avoiding rental for garments which will not be utilized.  This uniform bid also includes floor mat service for all City buildings, dust mops for custodial service, and shop rags for Fleet Maintenance.

The low bid was submitted by Clean Uniform Company.  Clean Uniform has provided satisfactory service under the previous contract and Staff recommends awarding the new bid to Clean Uniform.  The bid provides for a one-year agreement term with the option to renew annually for up four additional years based on available funding.

Funds are budgeted by each Department for uniform rental services.

Cost:                     Approximately $ 72,194.72  (Annual cost among various departments based on  estimated quantities)
