Presentation, discussion and possible selection of Young Strategies for the Tourism Market Research and Asset Inventory, for a project cost of $54,160.00
End
Background:
On November 9, 2015, Staff presented a request for a market research study and tourism asset inventory for the Broken Arrow Convention and Visitors’ Bureau (CVB). The asset inventory will provide a program of work for future programming and direction for the CVB. The research will establish a visitor profile and then measure and evaluate the economic impact of tourism in Broken Arrow. These objectives would include the reasons people visit Broken Arrow, where they visit from, activities they are doing, and demographic information.
On December 14, 2015, the CVB board approved a Request for Proposal (RFP) for consultant services to provide assistance in developing a Tourism Market Research and Asset Inventory. The purpose was to secure a program for the promotion of tourism in Broken Arrow, Oklahoma.
Requests for Proposal were sent to thirteen (13) vendors. Five (5) responses were received. Staff thoroughly reviewed and vetted each proposal. RFP responses received and their associated costs are as follows:
• Destination Strategy Partners - $24,750.00
• Young Strategies - $54,160.00
• CS&L - $87,690.00
• DMO Proz - $155,700.00
• Oklahoma State University Hospitality Program - $219,979.00
Destination Strategy Partners presented a proposal of 24,750.00. While Destination Strategies has experience in the Convention and Visitors Bureau industry, their proposal and project scope is limited to print advertising, experiential marketing and social media within the Kissimmee and Osceola County, Florida areas.
The second lowest proposal was submitted by Young Strategies. Their proposed work plan and methodology for the Broken Arrow Tourism Market Research and Asset Inventory project included client meeting and organization review, and a lodging survey, inclusive of Smith Travel Research analysis and hotelier interviews. It also included visitor profile research by market segmentation (online and intercept surveys), community leader and resident surveys, strategic planning workshops and a strategic action plan for the Broken Arrow CVB.
Staff is recommending the selection of Young Strategies as the vendor to provide the Tourism Asset Inventory for Broken Arrow. Young Strategies has related research experience with over 100 destinations in many states, including Oklahoma.
Staff believes that Young Strategies understands the scope of the Broken Arrow CVB project and has the experience and expertise to manage the project from start to finish. Young Strategies’ previous experience includes benchmark destination research, CVB reorganization, strategic planning and comprehensive market analysis.
Funding for the consultant fees for the Tourism Asset Inventory for Broken Arrow will be provided from the Broken Arrow Convention and Visitors’ Bureau fund balance.
