Background:
In order to get better pricing through volume, control over funds spent on office supplies and to control the types of office supplies ordered, it is advantageous to secure city wide purchasing with one office supply vendor. This gives Departments control over pricing and standardization of office supplies used.
Bids are based on a standard core list of commonly used office supplies. It does not replace the normal bidding and quoting process for single items costing over $2,500.00, nor does it lock the City into using the selected office supply company for items. Funds for office supplies are budgeted by each Department.
Bid 25.103 were solicited for this service and sent to five (5) office supply companies and received four (4) responses. After reviewing the bids, city staff recommended awarding the bid to Admiral Express as the primary supplier for office supplies. The reasons behind the recommendation of award, include but are not limited to, the bidder maintaining a local office, the fact the bidder has a good reputation from previous use and is capable of performing the contract and can provide the same promptly, and due to the references provided.
The bid process was advertised publicly in the Tulsa World newspaper and posted on the City of Broken Arrow’s website. The funding for this purchase will come from various funds, as the office supplies will be used by various departments in the City of Broken Arrow.
